Privacy notice
How Alphora Systems handles personal data when you use this website or contact us.
Last updated: 20 October 2026
This notice explains how Alphora Systems Limited (“Alphora Systems”, “we”, “us”) handles personal data when you visit alphorasys.com or contact us. We follow the Nigeria Data Protection Act 2023 (NDPA).
Who we are
Alphora Systems Limited, 9b Ologun Agbaje Street, Victoria Island, Lagos 106104, Nigeria, is the data controller for personal data collected through this website. You can reach us about anything in this notice at info@alphorasys.com.
What we collect
- When you send the enquiry form: your name, email address, and, if you choose to give them, your phone or WhatsApp number and organisation, plus the service you are interested in, when you want to start, your message and the page you sent it from.
- When you email us: your email address and whatever you include in your message.
- To protect the form from abuse: we check signals such as your browser type and how the form was filled in. We store a keyed, one-way hash of your IP address with an enquiry to detect repeated abuse; we do not store the address itself.
- Server logs: like every website, our hosting provider’s servers record technical details of requests (such as IP address, browser, page and time) for security and troubleshooting.
We do not use analytics, advertising or tracking cookies, and we do not use social media tracking. WordPress, the software that runs this site, sets cookies only for people who sign in to manage it.
How we use it, and why we are allowed to
- To reply to your enquiry and to take steps you ask for before a possible contract, such as preparing a proposal. This is necessary for those steps, and in our legitimate interest in responding to people who contact us.
- To keep this website and our systems secure, which is in our legitimate interest and yours.
- To meet legal obligations, where the law requires us to keep or share information.
We do not use your details for marketing unless you separately agree to it, and we never sell personal data.
Our spam filter is automated: it scores each enquiry on signals like those above. An enquiry the filter flags is kept for 30 days so a person can review it and release it if the filter got it wrong. We make no other automated decisions about you.
Who we share it with
- Our hosting provider, InMotion Hosting, Inc., which runs the servers for this website, its database and our email.
- Professional advisers, such as lawyers or accountants, where we need their advice.
- Authorities, where the law requires it.
We do not share your details with anyone else.
Transfers outside Nigeria
Our website and email are hosted in the United States, so the details you send us are transferred outside Nigeria. We rely on the transfer being necessary to respond to your request, and on our hosting provider’s commitments to keep data secure. If you would rather not send details this way, email us and we will suggest another route.
How long we keep it
- Website enquiries are deleted from the website 24 months after they arrive. Enquiries flagged as spam are deleted after 30 days.
- Emails are kept for as long as we need them to deal with your request and for our business records.
- If we go on to work together, the details you sent become part of our client records under our agreement with you.
- Server logs are kept by our hosting provider for a limited period for security purposes.
How we protect it
The website uses encrypted connections (HTTPS). Enquiries are stored in a private area that only our administrators can open, the software is kept up to date, and we back up our systems. No system is perfectly secure, but we take care proportionate to the data we hold.
Your rights
Under the NDPA you can ask us to:
- tell you whether we hold personal data about you, and give you a copy;
- correct data that is wrong or incomplete;
- delete your data, or restrict how we use it;
- stop using your data where we rely on our legitimate interests;
- give you your data in a portable format;
- withdraw any consent you have given, at any time.
To use any of these rights, email info@alphorasys.com. We may need to confirm who you are before acting on a request. We will respond without undue delay.
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You can also complain to the Nigeria Data Protection Commission (ndpc.gov.ng).
Children
This website is meant for organisations and is not aimed at children.
